Multiple Workspaces lets you organise one Giraffe360 account into separate working areas for branches, teams, brands or workflows.
Each Workspace can have it own:
Projects and users
Cameras
Presets and branding
Integrations
Analytics
If you only need one Workspace, nothing changes in how you work.
Important for existing customers: Project visibility is now controlled through Workspace or project access rather than camera assignment. |
Why use Multiple Workspaces?
Multiple Workspaces is designed to help businesses organise Giraffe360 around the way they actually work.
For example, you can use separate Workspaces to:
Organise different branches or offices.
Separate teams or cities.
Manage different brands or client workflows.
Give users access only to the Workspaces or projects they need.
Keep cameras and presets organised for different teams.
View project and usage data for individual Workspaces.
What's changing?
Before
Your Organisation had a single shared structure.
Projects were managed together.
Users were primarily assigned through cameras.
Only one preset could be shared across the Organisation.
Cameras were not separated by Workspace.
Analytics and usage were viewed at the Organisation level.
With Multiple Workspaces
Your Organisation can contain multiple Workspaces.
Projects are organised by Workspace.
Users can be given access to specific Workspaces or individual projects.
Presets are managed per Workspace.
Cameras are assigned to Workspaces.
Analytics are scoped to the active Workspace.
Integrations can be turned on/off per Workspace.
Social integrations are managed per Workspace.
Your Organisation remains the central account for billing and company-level management.
Every Organisation automatically has a default Workspace, so customers who only need one Workspace can continue working as they do today without creating anything new.
Understanding Organisations and Workspaces
An Organisation is your company's main Giraffe360 account.
A Workspace sits within your Organisation and can represent a branch, office, team, brand or client workflow.
For example:
Organisation: ABC Estate Agents
London Workspace
Manchester Workspace
Liverpool Workspace
Each Workspace can have its own users, cameras, presets and projects, while the Organisation remains the central account. Billing will stay at the organisational level.
Workspaces cannot contain other Workspaces.
Roles and permissions
Multiple Workspaces introduces five roles:

Workspace User access
A Workspace User can be given either:
Edit access – access to all current and future projects in the Workspace.
View access – view-only access to all current and future projects in the Workspace.
This replaces the previous model where Basic users were primarily assigned to cameras and gained access to projects captured by those cameras.
Project User access
A Project User can be given either:
Edit access – edit access to the selected project or projects.
View access – view-only access to the selected project or projects.
Creating and managing a Workspace
Every Organisation starts with one default Workspace.
If you only need one Workspace, you do not need to create anything.
If you want to separate your Workspace, an Admin or an appropriately authorised Organisation Manager can create additional Workspaces.
Create a Workspace
Open your Organisation settings.
Go to Workspaces Tab.
Select Create Workspace.
Enter the Workspace name.
Configure the Workspace settings.
Save the Workspace.
Rename a Workspace
Open your Workspace settings.
Select the option to edit the Workspace details.
Change the Workspace name.
Save your changes.
Delete a Workspace
A Workspace can only be deleted when it is empty or its projects have been transferred to another Workspace within the same Organisation. Cameras should be reassigned to another workspace.
Project Transfer
You can transfer a project between workspaces. To do this:
Click the Organisation Tab and then Manage Organisation
Click The All Projects Tab
Choose The Project You Want To Transfer
Click The Three Dots On The Right
Click Transfer
Choose The Workspace You'd Like To Transfer To
Press Move Project
You can also do this directly from project settings as long as you have the correct permissions.

Each Workspace has its own Workspace-level configuration, including:

Camera assignments
User access
Presets

Social integrations
The Workspace switcher appears in the top navigation when an Organisation has more than one Workspace.
If your Organisation only has one Workspace, the switcher is hidden and you can continue working normally.
Assigning users to Workspaces
Users can now be given access at either Workspace level or project level.
Administrators and Workspace Managers can assign users within the scope of the Workspaces they manage
Give a user access to an entire Workspace
Use a Workspace User when someone should have access to all projects within a Workspace.
You can choose:
Edit access
The user can edit all current and future projects in the Workspace.View access
The user can view all current and future projects in the Workspace but cannot edit them.
Give a user access to specific projects
Use a Project User when someone should only have access to selected projects.
You can choose:
Edit access
The user can edit the selected project or projects.View access
The user can view the selected project or projects without editing them.
This means you no longer need to use camera assignment to control a user's project access.
Presets and Workspace settings
Presets are now managed per Workspace.
This allows different Workspaces to use different processing and visual settings without affecting other Workspaces.
When you create a new Workspace, you can:
Copy presets from an existing Workspace and adjust them.
Build your Workspace presets from scratch.
Presets can include settings such as:
Branding
Colours
Colour Profiles
Other Workspace-specific processing settings
Presets can be copied between Workspaces by an Admin or Organisation Manager.
Cameras and Workspaces
Cameras are owned by your Organisation but are assigned to a Workspace.
Each camera has a default Workspace. Projects captured with the camera are uploaded to that Workspace unless another Workspace is selected during capture.
A camera can only be assigned to one Workspace at a time, while a Workspace can contain multiple cameras.
Selecting a Workspace before capture
If your Organisation has multiple Workspaces, you can select the Workspace where the project should be uploaded before starting the capture.
If only one Workspace is available, the default Workspace is used automatically.
Which Workspace does my project get uploaded to?
The Workspace assigned to the camera at the moment the upload begins determines where the project is registered.
If the camera's Workspace assignment changes after an upload has already started, the ongoing upload remains associated with the original Workspace.
Company media and branding
Company media such as branding assets can be used across your Organisation and attached to individual Workspaces through presets.
This allows different Workspaces to use the appropriate branding for their workflow.

Watermarks
Contact images
Colour settings

How to set different branding for different workspaces -
Branding can be set in two ways. When you first set up the workspace you'll be given the opportunity to select your branding. Once a workspace is created if you'd like to make changes to the branding:
Click on the Workspace Tab
Click Manage Workspace
Open The Presets Tab
Press Property Data
Change Your Branding As Desired
Social integrations
The following social integrations are managed at Workspace level:

Facebook
Instagram
Each Workspace can connect its own social accounts. Connected social accounts are not shared between Workspaces.
CRM integrations
CRM integration settings remain at Organisation level. Billing for paid CRM integrations remains at organisation level, also you turn on or off the possibility to connect to CRMs for each specific workspace at the organisation level, however once it is on, you can connect different CRMs for each workspace if you have more than one CRM account.
Analytics
Analytics are scoped to the active Workspace.
When viewing Analytics, you will see data for the Workspace you are currently viewing.
This allows teams and branches to understand their own project activity and usage without mixing it with other Workspaces.
Organisation-wide analytics across all Workspaces are not currently available.
Billing and usage
Billing remains managed at Organisation level.
Your Organisation continues to provide the central view of:
Cameras
Captured projects
Subscription types
Add-ons
Workspace-level reporting provides a breakdown of usage, such as:
Projects per Workspace
Cameras assigned to each Workspace
Workspace usage
Your billing relationship remains with the Organisation rather than with individual Workspaces. In the billing section it is possible to view per workspace usage breakdown of merge cases and also AI credits, this is just informative. We do not split this in the invoice
What happens to my existing setup?
The introduction of Multiple Workspaces is designed to avoid disrupting your existing setup.
When your account is migrated:
Your existing access is retained through a migration process.
Existing Managers become Organisation Managers automatically.
Your cameras are placed into the default Workspace.
Existing user-to-project access is preserved during migration.
This means you do not lose access to your existing projects when Multiple Workspaces is introduced.
Frequently asked questions
Do I have to create Workspaces?
No, unless you want to use more than one default workspace in your Organisation/company.
Every Organisation automatically has a default Workspace. If you only need one Workspace, you can continue using it without making any changes.
You only need to create additional Workspaces if you want to separate your branches, teams, brands, clients or other workflows.
How many Workspaces should I create?
Create Workspaces based on how you want to organise your work.
For example, you could create one Workspace for each:
Branch
Office
City
Team
Brand
Client workflow
You do not need to create a Workspace for every individual user or project.
Can one user access multiple Workspaces?
Yes.
Users can be assigned to multiple Workspaces where appropriate.
Their access is determined by the role and permissions assigned to them in each Workspace.
Can I give someone access to just one project?
Yes.
Use a Project User when someone only needs access to specific projects.
You can give them either edit or view-only access.
Can I give someone access to every project in a Workspace?
Yes.
Add them as a Workspace User and choose either edit or view access.
What happens to my current users?
Existing access is preserved during migration.
Existing Managers become Organisation Managers, and existing project access is retained through the migration process.
What happens to my cameras?
Cameras are assigned to a Workspace.
During migration, existing cameras are placed into the default Workspace.
If your Organisation has multiple Workspaces, cameras can be assigned to the appropriate Workspace.
Can a camera belong to multiple Workspaces?
No.
A camera can be assigned to one Workspace at a time.
A Workspace can have multiple cameras.
Can I move a camera between Workspaces?
Yes, where you have the appropriate permissions.
Can I merge or split projects across Workspaces?
No.
Merge and split operations are available within the same Workspace.
Projects cannot be merged or split across different Workspaces.
A project can be transferred to the appropriate Workspace before carrying out the merge or split.
Can Workspaces share presets?
No, but they can be duplicated between Workspaces.
Presets are managed per Workspace.
When creating a new Workspace, you can copy presets from an existing Workspace and adjust them, or create new presets from scratch.
Do Workspaces have separate social accounts?
Yes.
YouTube, Facebook and Instagram integrations are managed at Workspace level, so different Workspaces can connect different social accounts.
Are my CRM integrations separate for each Workspace?
Yes.
billing remains at the organisation level and general connection to CRMs (the possibility to choose which workspaces can and cannot integrate), but it is possible to connect each workspace with different CRM.
Can I see analytics for all my Workspaces at once?
Not currently.
Analytics are scoped to the active Workspace, so you see analytics for the Workspace you are currently viewing.
Organisation wide analytics are planned as a future capability.
Can I delete a Workspace?
Yes.
A Workspace can be deleted when it is empty or when its projects have been transferred to another Workspace within the same Organisation.
Can I go back to the old single-Workspace setup?
If you only want one Workspace, this update changes nothing for you.
If your Organisation only needs one Workspace, you can continue using the automatically created default Workspace.
What is the difference between an Organisation and a Workspace?
Your Organisation is the main company account.
A Workspace is a separate working area within that Organisation.
Think of the Organisation as the company and Workspaces as the different branches, teams, brands or workflows within it.
